Job Description:

The Senior Administrative Assistant delivers on our Purpose by supporting the Inflight Director Team with administrative duties. This includesmanaging calendars, emails,expense reports, travel arrangements, and other administrative projects as needed. The Senior Administrative Assistant is a self-starter that can multi-task and pivot as priorities arise and operational demand shifts while ensuring projects are completed accurately and in a timely manner.

Additional details:

Experience with Microsoft Outlook is preferred but not required.

U.S. citizenship or current authorization to work in the U.S. required and no current or future work authorization sponsorship available.

Responsibilities

Work under broad supervision and may be assigned multiple concurrent general projects

Anticipate Leaders needs and proactively resolve scheduling conflict

Support and lead large event planning for the Department, including department projects and cultural activities

Review department and company news closely and understand them in relationship to his or her organization

Compose and edit correspondence with appropriate grammar and structure, including under Leaders signature

Proactively manage and prioritize calendars and itinerary to ensure most effective use of the Leader(s) time.

Schedule and manage travel arrangements under direction of Leader(s)

Practice effective meeting management for self and multiple Leaders

Assist in onboarding of new Employees under supervision of Leader

Organize and maintain all files, records and other information; ensures databases are up to date

Serve as backup to Executive Assistant(s)

Own routine department processes & programs and complete processes accurately and on time while seeking efficiencies and process improvement

May perform other job duties as directed by Employee's Leaders

Knowledge, Skills and Abilities

Skilled in a high level of customer service delivery

Ability to identify conflict and must seek to clarify details

Skilled in office management & department procedures

Ability to use MS Applications Outlook, Word, Excel, Teams, and PowerPoint

Ability to meet confidentiality expectations regarding confidential, proprietary and sensitive Company information

Ability to communicate professionally with Leaders and all internal & external Customers

Ability to prioritize and multitask, working with a high sense of urgency

Ability to proactively seek creative ways to perform tasks in a timely and efficient manner (email, deadlines, calendar management, organization)

Knowledge of the mission and purpose and vision of Southwest Airlines and their department Understands the different functions of the department

Education

Required: High School Diploma or GED

Experience

Required: Intermediate level experience, fully functioning broad knowledge in Administrative Support or Customer Service related fields

Physical Abilities

Ability to perform work duties from limited space work station/desk/office area for extended periods of time

Ability to communicate and interact with others in the English language to meet the demands of the job

Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job

Other Qualifications

Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines

Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986

Must be at least 18 years of age

Must be able to comply with Company attendance standards as described in established guidelines

Ability to work in an on-call environment and flexible work schedule to support the needs of the business as needed
